Administrator Job Specification

Hours: 10 Hours per week (over two days to include Wednesday)

Location: The Plough Arts Centre, Great Torrington, Devon EX38 8HQ

Employment type: PAYE

Salary: £12.71 ph

Start: Immediate (subject to notice)

Application deadline: 3rd July 2026

Interview dates: July tbc

Administrator Job Description:

  1. Events Coordination 
  1. Be responsible for settling up with event organisers, promoters after the even
  2. Working alongside the auditorium programmer book films and upload them to Spectrix

      2. Volunteer Coordination

  1. Recruitment of new volunteers
  2. Help coordinate quarterly volunteer meeting 
  3. To liaise with the volunteer assigned to update Rotacentral, ensuring that the correct number of volunteers are on duty for events 

      3.  Financial & Administrative Duties 

  1. Oversee ticketing systems, venue hires, rooms hires, and income streams where applicable. 
  2. Maintain accurate records, reports, and documentation. 
  3. Oversee invoicing and ensure all are paid in a timely manner.

      4.   Programme Support 

  1. Work closely with the programming team to support artistic delivery. 
  2. Provide analysis reports using Spektrix to advise future event programming - e.g. ticket sales, audience demographics, profit margins, sales targets
  3. Ensure events, ticket sales, and customer data is recorded accurately, safely, and securely in Spektrix. 
  4. Create event listings in Spektrix, upload and publish on the Plough website.
  5. Support Operations Manager to report accurately to PRS and other regulatory bodies about ticket income.

   5.   Film Screenings

  1. Together with the events programmer, book and negotiate film screenings with distributors.
  2. Order POS and digital marketing assets for films and deliver these to Marketing
  3. Maintain accurate records about booked film screenings, including contracts, financial settlements, BORs (Box office returns), and film distributor contact details.

6. Box-office Help and Duty Manager

  1. Box-office trained and occasional stepping in to help where needed due to sickness or Annual Leave
  2. Duty Manager trained and regular responsibility
